When SharePoint is your main collaboration tool, it has a way of filling up quickly and quietly. You don’t always notice it climbing until the day that the limit has been reached.
I’ve been digging into this phenomenon for quite a while now, and it’s one of those things that nearly every organization will have to address at some point, sometimes unexpectedly.
So let’s break down what actually eats your SharePoint storage, what happens when it runs out, and how to build the kind of governance that keeps you ahead of it.

What makes up SharePoint storage
SharePoint’s storage model is a little more involved than the single number you see in the admin center. Microsoft allocates your tenant a base pool of storage — 1 TB plus 10 GB per licensed user. You can buy more file storage as needed, at an added cost. That pool is shared across every SharePoint and Teams site you have.
Individual sites can hit their own admin-set quotas too, but the ceiling most organizations bump into first is the tenant pool itself. Everything pulls from that same bucket. Documents, images, videos. It all counts.
Common Storage Consumers
The most common consumers of SharePoint storage typically grow in the background. These are the drivers I see most often in assessments across organizations.
Every time a file is edited and saved, SharePoint creates a new version. Think about that Excel file tracking the yearly budget. A single file that gets edited constantly can pile up hundreds of versions, each one taking up space like a document of its own.
Recycle Bin
Delete something from a document library, and it doesn’t leave right away. It lands in the recycle bin.
SharePoint runs a two-stage recycle bin, and deleted files can sit there for up to 93 days before they’re gone for good. The whole time they sit, they still count against your storage.

Stale Content
Then there are the things that nobody touches anymore. Sites from wrapped-up projects, files no one has opened in years. These items don’t go away on their own. They just sit there, taking up active storage at active storage prices.
What happens when Storage runs out?
When total active SharePoint storage runs out, it becomes harder to collaborate. If you’re the IT administrator, you’d receive an email with the note below:
SharePoint Online is out of storage space. Sites are in read-only mode and changes can’t be saved.
In practice, that’s an intern trying to update a report before a meeting and suddenly can’t. It’s the project management team trying to finalize a deliverable for the CEO, but is blocked by a file that’s gone read-only.
You can buy more storage from Microsoft or your CSP, and sometimes that’s the right call, but at $0.20 per GB per month, the cost can add up quickly. And it often treats the symptom, not the cause.
Keeping Storage in Check
You can always reclaim storage after the fact, but the better play is governance that keeps you out of the crisis to begin with. A handful of practices do most of the work, and they line up neatly with the culprits above.
Manage File Versions
The tenant-wide default caps versions at 500, but people don’t typically need this many copies of a single file. Reducing the file version limit to 100 major versions is often a reasonable starting point for most organizations.

Recycle bin hygiene
Every SharePoint site has its own two-stage recycle bin holding deleted files. Emptying it on a regular cadence permanently clears those files and reclaims the space they were holding. Set a rhythm and stick to it.

Archiving
For the content you want to keep but rarely touch, archiving moves it to a cold storage tier. This allows you to save on space without having to delete content.
Microsoft offers Microsoft 365 Archive, a pay-as-you-go service that lets you archive inactive SharePoint sites and files at a lower cost per GB than active storage.

Set your limits, build a couple of cleanup habits, and check in every so often. Do that, and you keep control of your space instead of scrambling for it the day everything goes read-only.
